1. Information I Collect

I collect personal information that is reasonably necessary to provide my services and manage my business. This may include:

• Contact Information: Your name, business name, email address and phone number when you enquire about my services, plus the service you are interested in and how you heard about me, if you tell me on my enquiry form.
• Project Information: Details necessary to provide my website design, search and AI search work and my reports, including anything you give me access to for that work (see section 5).
• Technical Data: Information about how you interact with my website, such as your IP address, browser type, pages visited, and the time and date of your visit. This helps me optimise the site and improve your user experience.
• Communication Records: Records of any correspondence between us (for example, email or form submissions).
• Payment Information: When you buy something on my website, such as a report or the email signature builder, your payment is handled by Stripe. Your card details go straight to Stripe and I never see or store them. I receive a record of the payment: the name and email address you give at checkout, the amount and what you bought.

The email signature builder runs in your browser. The logo, photos and details you add to it stay on your device and are never sent to me. So you don't lose your work, they are saved in that browser until you press Start again, or for 30 days after your last visit.

2. How I Collect It

I collect information directly from you (for example, when you fill out a contact form on my website or email me) and through automated technologies like cookies and analytics tools to understand website usage patterns.

The analytics tools I use are Google Analytics and Microsoft Clarity. Clarity shows me how people move through my pages, such as how far they scroll and where they click or tap, so I can see where a page is confusing and fix it. It never records what you type into a form, and it does not tell me who you are. Both tools use cookies to group the pages you view in one visit. When you send an enquiry, Google Analytics also records which service you chose and how you heard about me, without your name or email, so I can see what brings people to me.

3. Why I Collect It

I collect, hold, and use your information for the following purposes:

• Providing Services: To deliver website design, organic search and AI search work, and my reports, tailored to your needs.
• Business Communication: To respond to your enquiries, provide quotes, and maintain our working relationship.
• Improvement: To analyse website performance and refine my content, SEO and AEO work.

I do not make decisions about you using computer programs alone. Every enquiry and order is read and handled by me.

4. AI Tools

I use AI tools in my work to help with research, drafting and checking, and in The Found Report and The Full Picture I ask AI assistants such as ChatGPT and Gemini about your business the way a customer would, to see what they say. I only put in what the job needs, which is usually your business name, website and location, and never your payment details. I check everything these tools produce myself before it reaches you.

I also use search tracking tools, such as Mangools, to follow your website's rankings and how often AI assistants mention your business. These track your business and website, not you personally.

5. Access to Your Accounts

For some work you give me access to your accounts, such as Google Analytics, Search Console, your Google Business Profile, your website host or your email platform. I use that access only for the work you have asked for. I do not copy your customers' details out of those systems, and you can remove my access at any time.

6. Disclosure of Information

I do not sell your personal information. I share it only with the service providers I use to run my website and business, and only what they need: Netlify (website hosting and forms), Stripe (payments), Google (Google Analytics and my email), Microsoft (Clarity), Mangools (search tracking) and the AI tools described in section 4. I may also disclose information if required by law.

7. Data Security and Storage

I take reasonable steps to ensure your data is stored securely and protected from unauthorised access, loss, or misuse. Information is stored in electronic formats and protected by industry-standard security measures. Several of my service providers store information on servers overseas, mainly in the United States and Europe. I take reasonable steps to ensure any overseas providers handle your information consistently with Australian privacy standards.

8. How Long I Keep It

I keep enquiry and client records for as long as we work together and for a reasonable period afterwards, and financial records for at least five years, as tax law requires. When I no longer need information and am not required to keep it, I delete it.

9. Your Rights

You have the right to:

• Access: Request access to the personal information I hold about you.
• Correction: Request that I correct any inaccurate or incomplete information.
• Deletion: Request the deletion of your personal information, subject to my legal obligations to retain certain business records.

There is no charge for any of these, and I will respond within 30 days.

I may update this policy as my services or the law change. The current version is always this page, and the date at the top shows when it last changed.
